Our role and the care agency's role
Care agencies use Ezywatch Care to run their service. Each agency decides what information about its clients and staff is entered, and why. For that information the agency is the data controller and we are its data processor: we store and handle it only to provide the service, on the agency's instructions. If you are a client of a care agency, or work for one, please contact the agency first about your information.
We are the data controller for information about the agencies that use our service and their office users (for example account and billing details), and for messages sent to us.
Information we handle
Carers using the Ezywatch Care app
- Account details: name, email address and phone number, set up by the agency.
- Location: the app reads your phone's location only at the moment you tap Check in or Check out of a visit, to record that you were at the client's address. It does not track your location at any other time, and never in the background.
- Visit records: check-in and check-out times, tasks you complete, notes you write, and concerns you flag.
- Care plans you read: a record that you confirmed reading a client's care plan.
- App version: which version of the app you use, so the office can help with problems.
Information entered by the care agency
- Clients: name, address, phone number, care plans, risk assessments, visit notes and other details needed to provide care. This can include health information, which is special category data under UK GDPR.
- Staff: contact details, schedules, pay details, and employment checks such as right to work, identity, DBS, references and training records, including scanned documents.
- Funders and payers: contact and invoicing details.
Office users
- Name, email, phone, sign-in records (including IP address) and a log of changes made in the office system, kept for security and accountability.
Why we use it
- To provide the service: scheduling visits, recording care, invoicing and payroll, and compliance records, on the agency's behalf.
- To keep the service secure: sign-in checks, two-step login, activity logs and backups.
- To support agencies and answer questions.
- To bill agencies for the service.
For agency data, the legal basis is the agency's own. For our own processing, we rely on performing our contract with the agency and our legitimate interest in keeping the service secure and working.
We do not sell personal information, use it for advertising, or show adverts in the app.
Who we share it with
We use a small number of trusted suppliers to run the service. They handle information only on our instructions:
- Laravel Cloud: hosting of the website and office system, in London.
- Neon: the database, in London.
- Cloudflare (through Laravel Cloud): storage of uploaded documents.
- Resend: sending emails such as invoices, alerts and sign-in links.
- Stripe: taking subscription payments from agencies (agencies only, never carers or clients).
- postcodes.io: finding the map location of a client's postcode (only the postcode is sent).
We may also share information if the law requires it. Some suppliers may process data outside the UK; where they do, it is protected by the safeguards UK GDPR requires.
How long we keep it
- Agency data is kept while the agency uses Ezywatch Care, and deleted or returned when it leaves, unless the law requires us to keep it longer.
- The log of changes made in the office system is kept for 6 years, in line with usual retention for care records.
- Backups are kept for 30 days and then deleted.
Keeping it safe
Information is encrypted in transit, access is limited by role, office users can be required to use two-step login, uploaded documents are private, and every change is logged. Data is backed up every night.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how it is used, and to receive it in a portable format. If your information was entered by a care agency, please contact that agency; we will help them respond. Otherwise, contact us at support@ezywatch.co.uk. To delete your Ezywatch Care app account, see how to delete your account. Care agencies: our terms of service and data processing agreement set out how we handle your data for you.
You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Children
The Ezywatch Care app is for care workers and is not intended for children.
