Terms of service
Ezywatch Care · Last updated 6 October 2026
These terms are an agreement between Ezywatch Limited (registered in England and Wales, company number 09215789, registered office 109 Stavordale Road, Carshalton, SM5 1BU) ("we", "us") and the care company that signs up to Ezywatch Care ("you"). The person who signs up confirms they can agree to these terms for the company. Questions: support@ezywatch.co.uk.
1. The service
Ezywatch Care is online software for home care companies: scheduling visits, the carer app for checking in and recording care, care plans, approvals, invoicing, payroll figures, staff compliance records and reports (the "service"). The software and app are built and published by our technology provider, Innovative Web Services Limited, on our behalf.
The service is a tool to help you run your care company. You remain responsible for the care you provide, for your regulatory duties (for example to the CQC), for employment and pay decisions, and for checking that records, invoices and pay figures are right before you rely on them.
2. Your account
- You decide who in your company can use the service, and what each office user can see and change. You are responsible for what your users do in your account.
- Keep passwords private and use two-step login for office users. Tell us straight away at support@ezywatch.co.uk if you think someone has got into your account.
- Make sure the information you put in is accurate and that you are allowed to use it, including for your clients and staff.
3. Fair use
You must not use the service to break the law, to send spam or harmful content, to try to get into other companies' data, to test or attack its security without our written permission, or to copy or resell the software.
4. Price and payment
- Free up to 5 active clients in a calendar month.
- With 6 or more active clients, the month costs £7.00 per active client, for every active client that month (not only those above 5).
- An active client is a client with at least one visit in that month that wasn't cancelled.
- You are billed monthly in arrears, around the 1st of the next month, by card or Direct Debit through our payment provider, Stripe. Prices do not include VAT. We are not currently VAT registered; if we register, VAT will be added at the current rate and we will tell you first.
- When you first go over the free allowance, you have 14 days to set up payment. If payment isn't set up by then, or a payment fails and isn't sorted out, the office system becomes read-only until it is. Your data is kept, and the carer app keeps working, so visits are never stopped.
- We may change prices with at least 30 days' notice by email. If you don't agree, you can stop using the service before the change.
- There is no minimum term and no refund for part months.
5. Your data
- Your data is yours. You keep all rights to the information you and your users put into the service.
- You allow us to store and use it only to provide, secure, back up and support the service, and to bill you.
- For personal information about your clients and staff, you are the data controller and we are your data processor. Our data processing agreement forms part of these terms and applies automatically. How we handle personal information is also described in our privacy policy.
- We may use anonymous, combined figures (for example, how many visits are recorded across the service) to improve it. These never identify you, your clients or your staff.
6. Keeping the service running
- We aim to keep the service available at all times and back it up every night, but we can't promise it will never be interrupted or free of errors. We may need short breaks for maintenance and will try to do these outside busy times.
- We will keep improving the service. If we remove a feature you rely on, we will give you reasonable notice.
- Support is by email at support@ezywatch.co.uk during UK working hours.
7. Ending the agreement
- You can stop at any time by cancelling under Settings → Subscription, or by emailing us. You pay for the month you're in, and nothing after it.
- We can end the agreement with 30 days' notice, or straight away if you seriously break these terms (for example, unpaid fees after reminders, or misuse of the service).
- When the agreement ends, you can ask for a copy of your data in a common format (for example CSV and PDF) within 30 days. After that we delete it, and it drops out of our backups within a further 30 days, unless the law requires us to keep it.
8. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited.
- We are not liable for indirect or consequential losses, or for loss of profit, business, contracts or goodwill.
- We are not responsible for care decisions, missed or late visits, or pay and invoice figures you didn't check, as these remain your responsibility.
- Otherwise, our total liability in any 12 months is limited to the fees you paid us in those 12 months, or £500 if that is more.
9. Changes to these terms
We may update these terms. For important changes we will email you at least 30 days before they apply. If you keep using the service after that, the new terms apply.
10. General
- Neither of us is responsible for delays caused by events outside our reasonable control.
- We may use suppliers to provide the service (listed in the data processing agreement), but we remain responsible for them.
- These terms, the data processing agreement and the price above are the whole agreement between us about the service.
- These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.
